Finance dates and deadlines to remember

Need to keep up with DMSE’s finance schedule? Find important deadlines to add to your calendar and stay on track

While most things in DMSE don’t have hard deadlines, transaction processing and group member management recur in predictable cycles. Here’s a summary of information to help you know what to keep track of:

General

Travel

Travel reports can’t be submitted until after the trip has been fully completed. Because of this, it’s usually better to wait for all charges for a single trip to come in so they can all be on the same report instead submitting separate reports for each charge.

FRC

The new FRC period begins the first week of the month (usually around the 10th), running for transactions from the previous month. Reviewers are asked to complete their review by the final week of the month. On the Monday of the final week, a reminder will be sent to anyone who hasn’t yet completed their monthly review, so it’s best to try to have FRC review completed before then.

P-card

Within DMSE, each charge’s documentation is due within 10 days of its appearance in the P-card app. After you’ve accumulated more than three transactions that have swept without documentation, a message is sent stating that all documentation must be submitted within 2 business days, or the credit card in question will be placed on hold.

Payroll

The specific dates for late change request deadlines, eSDS weekly cutoff deadlines, and eSDS monthly cutoff deadlines will vary from year to year, but they roughly correspond to the following schedule:

  • Late Change Requests: Between the 14 and 18 of the month
  • eSDS Weekly Cutoff: Monday or Tuesday of the last full week of the month
  • eSDS Monthly Cutoff: Within 3 days of the last day of the month

July

  • Fall graduate appointment information: due around the beginning to middle of the month
  • All group member information updates (all current members, all departing members and locations) are due for quarter 1 by around the middle of the month. Exact dates will be announced closer to the date.

October

  • All group member information updates (all current members, all departing members and locations) are due for quarter 2 by around the middle of the month. Exact dates will be announced closer to the date.

January

  • All group member information updates (all current members, all departing members and locations) are due for quarter 3 by around the middle of the month. Exact dates will be announced closer to the date.

April

  • All group member information updates (all current members, all departing members and locations) are due for quarter 4 by around the middle of the month. Exact dates will be announced closer to the date.

June

  • Fiscal close; spending winds down and is put on hold in stages to allow the Institute to close out the year. While the exact dates vary each year, here are the rough timelines:
    • Mid June: Deadline for submitting travel expense reports for approval and paying invoices in B2P
    • One week later: Deadline for submitting RFPs for approval
    • End of the last week of June: Deadline for submitting Procard charges for approval
 

All transactions received after this point will not be posted until the beginning of the next fiscal year in July.
